A school or church car park hire checklist for event days

Community venues may have spare parking outside their normal activities, but site security, governing-body approval and the needs of pupils or worshippers must come first.
Parking in United Kingdom isn't live yet
We're opening this market soon. If you have a space nearby, you can list it now and be ready on day one.
Some schools, churches and community venues have car parks that are quieter outside their normal hours. Where parking close to an event venue is limited, those spaces may be useful to visitors. However, safeguarding, existing site users and proper authorisation take priority over parking income.
Get the right decision-makers involved
Confirm legal ownership and who is allowed to approve commercial use. A school may need governing-body, academy trust, local authority or trustee approval, depending on how the estate is held and managed. A church or charitable venue may have trustee, lease or charitable-purpose restrictions.
The Department for Education explains how trusts, leases and land ownership can restrict decisions about school premises: Good estate management for schools. This is not a substitute for advice about your own site.
Review planning conditions, local permissions, insurance and any agreement with neighbours or other organisations before listing.
Safeguarding and access boundaries
Do not arrange public parking at times or locations that compromise pupils, vulnerable users or restricted activities. Where the site has buildings used by children, consider whether public drivers can be kept entirely outside secure areas. Gates and pedestrian routes should not depend on a driver entering areas used for school or community activities.
Agree who holds gate keys, who opens and closes the car park and what happens if a driver is late. Never rely on children or unsupervised volunteers to direct moving vehicles.
Conduct a proportionate site assessment
Check that vehicle movements, entrances, crossings, pedestrian waiting areas, fire access and lighting are safe. Reconfirm the usable capacity after excluding accessible bays, emergency routes and spaces reserved for staff or worshippers. Decide whether an event-day steward or additional signs are necessary.
The Department for Education's estate guidance specifically addresses access routes and car-park safety: Maintaining your school estate.
Choose dates that do not disrupt the venue
A school might only offer selected non-school dates; a church may need Sunday and service-time restrictions. Be realistic about setup and clear-down, especially when the nearby event may end late.
Record who can alter availability and who will respond to booking questions or incidents. Use a contact arrangement that does not disclose private staff details publicly.
Decide whether a pilot is worthwhile
A small, controlled pilot provides information about actual demand, traffic flow and volunteer or staffing needs. Do not project revenue until the site is approved for use and bookings are genuinely being made.
On PrePark, listing is free and hosts retain their advertised parking price, with no PrePark host commission. This does not remove any outside tax, governance, staffing, insurance or safety obligations.
Explore Rent out school or church car park spaces and List Your Space. Only advertise spaces after the appropriate organisation has authorised their use.
Questions to discuss before launch
- Does the governing body or trustees have power to approve the activity?
- Does the insurance expressly cover the intended parking use?
- Can pedestrians and public vehicles be separated safely?
- Who can cancel a date at short notice, and how will drivers be informed?
- What happens if a vehicle remains on site after closing?
